One: Our most important
goal is to provide meaningful numbers to your desktop
ever day by 5:00 PM. We will provide you with advice
on which 5 critical numbers you should look at daily.

Step Two:
Our highly skilled bookkeepers will visit your business
to determine how your operation is run now. We do not
wish to change your procedures. It is too disruptive
to ask your staff to do things differently.
Step Three:
Some of the businesses we work with had an unskilled
bookkeeper set up the accounting software. The resulting
reports are not meaningful in determining where the
profit centers are. Our CPAs will review your account
classifications and accounting procedures to determine
if you are using your software correctly.
Thaney & Associates CPAs believes in the 80/20 rule
of business. 80% of your profit comes from 20% of your
efforts, and 20% of your customers contribute 80% of
your sales. With accurate accounting data, you will
quickly be able to focus your efforts on the most profitable
work. Our average client finds that this new focus improves
cash flow as much as 20 - 100% within one year.
We also implement expense controls over the course of
the year that identify cash flow leakage. This CFO advisory
service is included in your bookkeeping service.
Step Four:
A data entry clerk will come to your office and set
up a process to capture source documents. These will
be faxed to our office with any adjustments or payment
comments that you want to make. The faxes are converted
to electronic files that are entered into your accounting
software.
Eventually, most companies have
their bills sent directly to our office. Our staff will
review this information with you.
Step Five:
Paperless operation. Once we have converted source documents
to image files (just like Fortune 500 firms do now)
you will no longer need file cabinets. In the beginning,
we will use your current filing system. After a while,
original documents can be stored in bankerâs boxes,
filed by date.
Step Six:
To provide you with anytime access to your accounting
data, we will install an ASP link. This is done at our
expense. We use the same security as ATM machines to
protect your data.
Step Seven:
When necessary, we will train your staff on how to input
bids, purchase orders, and sales orders directly into
the accounting software. This will improve speed, accuracy,
and provide you with real-time information on how your
company is doing every day. For security reasons, access
to critical information is restricted by pass code.
Step Eight: Online banking will
be installed. This gives you real-time bank balances
from any computer and greatly reduces the time it takes
to write checks. Thaney & Associates CPAs will not
have the pass code to issue checks from your account.
We will set checks for payment and you will be able
to review any payments before they are made.
Step Nine: We answer the telephone
for your bookkeeping questions. You will have a direct
line to your bookkeeper when they are not in your office.
Step Ten: If you have a billfold full
of receipts that are not being tracked properly, Thaney
& Associates CPAs will remove the "yellow receipt"
problem. You will be provided with a voice mailbox to
report transactions to us. For example, the next time
you have lunch with a customer just call and leave the
information and amount in a voice mailbox. This is converted
to a text file, time stamped, and sent to your bookkeeper
for entry.
The same technique works for invoicing.
An example would be a contractor who receives material.
Just call in and give the cost, the vendor, the customer
and the amount to bill the customer.
